Change, take back or void an invoice
Edit a draft, turn a sent invoice back into a draft to fix it, or void one that shouldn't be paid.
- Where
- Invoices
- Who can do this
- Editing needs the Create & edit invoices permission. Reverting and voiding need Record payments, void & revert.
What you can change depends on the invoice's status.
- Draft: change anything. Click the pencil next to a section to edit the billing and dates, the line items, or the notes and terms.
- Sent, Partially paid or Paid: you can still change who it bills, the billing email, the notes and terms, and the client view. Line items and dates are locked.
- Void: nothing can be changed.
Take back a sent invoice
- Step 1: Open the invoice and click Revert to draft.
- Step 2: Make your changes.
- Step 3: Click Send invoice to send it again.
While it's a draft, the link you sent stops working. It works again once you send the invoice again.
Good to know: Revert to draft only shows on a Sent invoice with no payments and no bank payment processing.
Void an invoice
- Step 1: Open the invoice and click Void.
- Step 2: Click Void invoice to confirm.
The invoice number is kept for your records, your customer's payment link stops working, and the balance no longer counts as outstanding. Voiding can't be undone.
Good to know: You can void a draft or a sent invoice only while it has no payments. Invoices can't be deleted, so void one instead.
Tip: If an invoice says it's overpaid, settle the difference with your customer directly.
