Request documents and signatures from a customer

Ask a customer to upload documents through their portal, review what they send, and send a PDF for signature.

The Files tab holds a customer's documents, photos and videos. It's also where you ask for paperwork and get documents signed.

Ask for a document

  1. Step 1: Open the customer and click the Files tab.
  2. Step 2: Click Request document.
  3. Step 3: Pick a template under Start from a template, or fill in What do you need? and an optional note.
  4. Step 4: Click Create request. Nothing is emailed yet, so you can add more.
  5. Step 5: Click Send all to customer to email them every new request at once. With one request, the button reads Send request to customer. Each request also has its own Send button.

They upload a PDF from their client portal, and a count on the Files tab shows what's waiting for you. Click Approve, or click Deny and give a Reason. Deny & notify customer emails them your reason with a link to send it again.

Tip: Save the documents you ask for often in Settings › Document templates.

Get a document signed

  1. Step 1: On the Files tab, click Upload and add the PDF.
  2. Step 2: Open the file's menu and choose Send for signature.
  3. Step 3: Check the Signer name and Signer email, which start as the primary contact's, then click Send for signature.

The signer gets an email with a secure link to review and sign. The file shows Awaiting signature until they do, and its menu has Send reminder and Cancel signature request. MakeHay records the signer's IP address, device, times and a fingerprint of the document.

Good to know: Files you upload are Private until you choose Share to portal from the file's menu. Only PDFs can be sent for signature.
