Remove someone's access when they leave
When someone leaves, turn off their permissions so they can't see your work, cancel any open invitation, and archive them from the crew roster.
- Where
- Settings › Team
- Who can do this
- People with the Team & permissions permission
Settings › Team has no button that deletes a login. To cut someone off, you take away their permissions. It works right away and nothing they made is lost.
Take away their access
- Step 1: Go to Settings › Team.
- Step 2: In Team logins, click Permissions on the person's row.
- Step 3: Turn off every switch until each area shows hidden. Turning off a switch also turns off the ones that depend on it, so turning off View quotes clears the rest of Quotes.
- Step 4: Click Save changes.
From the next page they open, the only page left in their menu is the Dashboard. If they open a link to any other page, MakeHay sends them back to the Dashboard. The quotes, jobs, notes and photos they added stay in your account.
Tip: If people leave often, go to Settings › Permissions, click New set, name it something like Former staff, leave every switch off and click Create set. Then open the leaving person's Permissions, pick that set under Permission set and click Save changes. Picking a set starts them fresh from it, so none of their own changes carry over.
Take back an invitation
If they haven't accepted an invitation yet, click Cancel next to their email under Pending invitations. The link in their email stops working. Only the account owner can cancel an invitation.
Take them off the crew roster
If they're also on the People list, click their name, click Archive, then click Archive again to confirm. That takes them off the roster and clears their job assignments. See Add your crew and teams.
Good to know: The account owner's access can't be changed, so the owner's row has no Permissions button. For questions about a login you no longer need, message the MakeHay team from Help & feedback in the app, or use the contact page.
