Choose what each person can do

Put a teammate on a permission set, then turn single switches on or off for just them.

People with the Team & permissions permission

Every teammate starts from a permission set. You can add or remove single switches for one person without changing the set for everyone else.

  1. Step 1: Go to Settings › Team.
  2. Step 2: In Team logins, click Permissions on the person's row.
  3. Step 3: Under Permission set, pick the set they start from.
  4. Step 4: Turn switches on or off for anything that should be different for this person. Each switch that differs from the set is marked added or removed.
  5. Step 5: Click Save changes.

Back on Settings › Team, the Access column shows each person's set and how many changes they have on top of it.

How the switches work

  • Switches are grouped by area, such as Customers, Quotes and Invoices. When every switch in an area is off, the area shows hidden and disappears for that person, from the menu, search and the dashboard.
  • Some switches need others. Turning on Send quotes also turns on Create & edit quotes and View quotes. Turning a switch off also turns off the ones that depend on it.
  • Picking a different set starts the person fresh from that set. Their earlier changes don't carry over.

Undo or reuse one person's changes

  • Click the reset arrow on a marked row to put that switch back the way the set has it, or click Reset all to set.
  • Save as new set… turns this person's access into a new set you can give the next hire. Give it a Set name and click Create set. They move onto the new set with no changes left over.
  • The button that names their set, such as Update “Office” to match, copies their changes into that set, so everyone on it gets them.

These buttons appear only when the person has changes of their own, and they use what's already saved. If you just changed switches, click Save changes first, then open the person's Permissions again.

Good to know: You can only give switches you have yourself, and you can't turn off your own Team & permissions. The account owner always has every permission, and that can't be changed.
