Understand what each teammate can see

A teammate sees only the areas their permissions turn on. Here is what each area holds, and which pages stay with the account owner.

MakeHay hides what a person can't use instead of showing it locked. When every switch in an area is off for someone, that area is gone for them: no menu item, no search results and no dashboard tiles for it.

Everyone sees the Dashboard. Settings appears in a person's menu only when they have at least one Settings switch, and it lists only those sections.

The switches in each area

  • Customers: View customers; Add & edit customers; Archive customers & job sites; Import customers; Message customers; Manage customer files.
  • Requests: View requests; Handle requests.
  • Quotes: View quotes; Create & edit quotes; Send quotes; Approve, void & delete quotes.
  • Jobs & calendar: View jobs & calendar; Edit jobs & status; Schedule visits; Assign crew; Add notes & photos; Send customer updates; Delete jobs.
  • Invoices: View invoices; Create & edit invoices; Send invoices & reminders; Record payments, void & revert.
  • Measurements: Take satellite measurements.
  • Reports: View reports.
  • Automations: View automations; Manage automations.
  • Settings: Company profile; Services & pricing; Document templates; Request forms; Website; Notifications; Customer emails; Team & permissions.

The permissions editor shows a one-line description under each switch.

What a field tech sees

The built-in Field tech set starts with View jobs & calendar, Add notes & photos and View customers turned on. With it, a person's menu shows only Dashboard, Calendar, Customers and Jobs. Requests, quotes, invoices, reports and automations are hidden from them.

Only the account owner

These pages stay with the account owner and can't be given to anyone else: Settings › Payments, Settings › Add-ons, Settings › Referrals and Settings › Account.

Good to know: If someone opens a link to a page they can't use, MakeHay takes them to the Dashboard with a note that they don't have access and should ask the account owner.
