Invoices and payments

Set up autopay for a repeating service

Charge a customer's saved card or bank account after each visit of a repeating job, with an emailed receipt every time.

Who can do this
People with the Schedule visits and Create & edit invoices permissions turn it on. Emailing the set-up link needs Record payments, void & revert.

Autopay works with repeating jobs that bill after each visit. Your customer saves a card or bank account once, and each visit you mark done is charged to it instead of emailed as an invoice.

Connect Stripe first. See Connect Stripe to take payments.

Turn on autopay for the job

  1. Step 1: Open the job. At the bottom of the Visits card, click Set up repeat, or click the repeat summary if the job already repeats.
  2. Step 2: Turn on Bill after each visit and enter the Price per visit.
  3. Step 3: Turn on Autopay.
  4. Step 4: Click Set repeat or Save changes.

Get your customer's card or bank account

  1. Step 1: Open the customer from Customers. On the Overview tab, find the Autopay card.
  2. Step 2: Click Email set-up link. One of the customer's contacts needs an email address.
  3. Step 3: Your customer opens their portal from the link, reads the agreement, clicks Set up autopay and saves a card or bank account on Stripe's secure page.

The Autopay card then shows the saved method and when it was saved. Until then, each visit is invoiced by email as usual.

After each visit

When you click Done on a visit, MakeHay shows exactly what will be charged. Confirm with the button that shows the amount, like Done & charge $75.00. If your customer has an email address, they get a receipt by email.

Good to know: If a charge fails, the invoice is emailed to your customer instead and your dashboard lists the failed charge. The Autopay charge failed notification tells you too.

Tip: In their portal, your customer can click Use a different card or bank or Turn off autopay at any time. To stop charging them yourself, click Remove on their Autopay card. Either way, later visits are invoiced by email.
