Set up a recurring service

Make a job repeat every week or month, with visits added to the calendar and an invoice or autopay charge after each visit.

Who can do this
The account owner, and people with the Schedule visits permission. Billing for each visit also needs Create & edit invoices.

A repeating job is for regular work, like weekly mowing or a monthly visit.

  1. Step 1: Create the job with This job repeats ticked, or open a job and click Set up repeat in the Visits card.
  2. Step 2: In Repeat this job, set Every and Period, for example every 2 weeks.
  3. Step 3: Pick the Starting date. It sets the day of the week or month the visits fall on. A past date starts from today.
  4. Step 4: Under Ends, choose Never, On a date or After a number of times, then fill in the End date or Number of times.
  5. Step 5: To bill for each visit, turn on Bill after each visit and enter the Price per visit. Change Describe it on the invoice if you want wording other than the job title. Tick Charge sales tax if it applies.
  6. Step 6: To charge the customer's saved card or bank account instead of emailing an invoice, turn on Autopay. If a charge fails, the invoice is emailed instead.
  7. Step 7: Click Set repeat.

MakeHay adds the visits for the next 60 days to your calendar at your work hours, and keeps adding more as time passes. Each visit gets a weather check like any other.

Mark each visit done or skipped as it happens. With billing on, each visit you mark done gets its own invoice. See Mark a visit done or skipped.

Change or stop it

Click the repeat line in the Visits card to edit it, then click Save changes. Turn off repeat in the same dialog removes the upcoming repeat visits and keeps past, done and skipped ones. When the work is over for good, click End repeat & complete at the top of the job page and confirm. Past visits and their invoices stay, and the job is marked complete.

Tip: Charge sales tax shows once you set a Default tax rate (%) in Settings › Company. Autopay needs Stripe connected and a saved payment method from the customer. Until one is saved, each visit is invoiced by email. See Set up autopay.

Tip: The Repeating filter on the Jobs list shows only your repeating jobs.
