Share a file or photo with a customer
Upload documents, photos and videos to a customer's Files tab, then share the ones they should see to their client portal.

The Files tab on a customer's page keeps their documents, photos and videos together. Files stay private to your team until you share them.
- Step 1: Open the customer from Customers and click the Files tab.
- Step 2: Click Upload and pick one or more files, or drag them onto the box at the bottom of the tab.
- Step 3: New files show a Private badge. To let the customer see one, open the menu next to it and choose Share to portal.
The badge changes to Shared, and the file appears on the Docs tab of their client portal, where they can preview or download it. If the primary contact has an email, they get a Files shared email with a link to the portal. They get at most one every 15 minutes, so sharing several files at once sends one email.
What you can upload
- Photos: JPEG, PNG or WebP, up to 8MB each.
- Videos: MP4, MOV or WebM, up to 100MB each.
- Documents: PDF only, up to 25MB each.
Manage a file
- Click a file to preview it, or use the download button next to it.
- Edit title & notes gives a file a clearer name than its filename and adds notes. Your customer sees the title but never your notes.
- Unshare from portal takes the file out of their portal.
- Delete removes the file from your page and their portal right away. There's no undo.
- Narrow a long list with All, Documents and Photos & video at the top of the tab.

Good to know: To send photos from a job, send a photo update from the job instead. See Send your customer a photo update from the job. Change the wording of the Files shared email in Settings › Emails.
