See what your customer sees in their client portal
Each customer gets a private portal page with their visits, messages, documents, quotes and invoices. Here's what's on each tab.
- Who can do this
- People with the Message customers permission
The client portal is one customer's private page for their schedule, messages, paperwork and bills. They open it from a link, with no account or password.
How they get the link
If the customer has an email address, MakeHay emails them a link to the portal when you message them, share a file, ask for a document, send a photo update or email an autopay set-up link. To send it yourself, click Copy link on the Client portal card on their Overview tab.
The four tabs
- Home starts with Needs you: documents to sign or upload, estimates to review and the amount due. Below it, Coming up lists the visits still ahead on their scheduled jobs, followed by your business phone and email.
- Messages holds your messages and photo updates. They can reply and add photos or videos.
- Docs shows documents waiting on a signature, documents you asked them to upload, and files you shared with them. They can preview or download each file.
- Billing shows their balance due, estimates and invoices. Click one to open the full quote or invoice, where they can approve a quote or, if you take payments online, pay an invoice. If you offer autopay on a repeating service, they set it up here too.
Your quotes are listed under Estimates in the portal. Drafts and voided quotes don't appear. Docs and Billing show a count when something is waiting on them.
Good to know: Documents can't be signed in the portal. The signing link is only in the email sent to the signer. If that email went missing, Email me the link again on the Docs tab sends it to the same address.
Keep it private
Anyone with the link can see the page, and the portal says so. If a link reaches the wrong person, click Reset link on the Client portal card. The old link stops working, including in emails you already sent. Disable turns the link off. Clicking Copy link, or sending them anything that emails a portal link, makes a new one. Archiving a customer closes their portal too.
