Get your numbers to your bookkeeper or QuickBooks
MakeHay doesn't sync with QuickBooks or other accounting software. Here's what to download and hand to your bookkeeper instead.
- Where
- Reports
- Who can do this
- The account owner, and people with the View reports permission
MakeHay doesn't connect to QuickBooks or any other accounting software, so nothing syncs on its own. Instead, download your numbers from Reports and send the files to your bookkeeper.
Payments and quotes for a date range
- Step 1: Open Reports from the main menu.
- Step 2: Pick a range, or fill in your own dates and click Apply. A custom range can cover up to two years.
- Step 3: Click Payments CSV at the top of the Revenue section, and Quotes CSV at the top of the Quotes section.
- Step 4: Send the files to your bookkeeper. They open in Excel, Google Sheets or Numbers.
The payments file lists every payment in the range, including pending and failed ones. To match the Collected number in Reports, filter the status column to succeeded. Each row has the invoice number it paid. See Download your payments or quotes as a spreadsheet for every column.
Good to know: The amount column is what went toward the invoice. If your customers pay the online fees, the extra they paid on top isn't in it.
Payouts and fees
Card and bank payments made online go through your Stripe account. Payouts, fees and payment details live in your Stripe dashboard. Sign in at dashboard.stripe.com to get them for your bookkeeper.
Good to know: Refunds you give in your Stripe dashboard aren't recorded in MakeHay. A refunded payment still shows as succeeded in the payments file and in Collected, so use your Stripe records for refunds.
Everything else
There's no separate invoices file. If you're the account owner, you can save one file from Settings › Account with your customers, properties, quotes, invoices, payments, jobs, requests and price book. It's in JSON format, not a spreadsheet. See Download a copy of your data.
