Customers and requests

Turn a request into a customer and a quote

Read a new request from your form, then turn it into a customer, job site and draft quote in one click, or archive it.

Who can do this
People with the Handle requests permission

Every submission from your request forms lands in Requests. New ones are marked New until someone opens them.

  1. Step 1: Open Requests in the menu. Filter with All, New, Viewed, Converted and Archived.
  2. Step 2: Click a request to read it. Opening it marks it Viewed. You see their contact details, the job site address if they gave one, their answers and any photos.
  3. Step 3: Click their email or phone number to get in touch.
  4. Step 4: Click Convert to customer + quote. MakeHay adds them as a customer with their contact details, adds the job site and starts a draft quote.
  5. Step 5: Click View draft quote to price the work and send it.

If the request has no full job site address, the button reads Convert to customer and makes only the customer. Add the job site and quote from their page.

Not work you want? Click Archive. Archived requests leave the All list, and you can still open and convert them later.

Good to know: Converting always adds a new customer, even if the person is already in your list. For a returning customer, you can archive the request and start the quote from their existing page instead.

Spam

Requests caught by the spam filter go under a Spam filter that appears only when there are some. You aren't emailed about them. If one looks real, open it and convert it like any other.

Tip: When the person gave an email, replying to the new request email MakeHay sends you writes straight back to them.

Tip: The new customer's Lead source is set to the request form, so you can always see where they came from.

Good to know: People with only the View requests permission can read requests but can't convert or archive them.
