Jobs and scheduling

Add a checklist of tasks to a job

List what has to happen on site, tick things off from the truck, and see at a glance how far along a job is.

Who can do this
The account owner, and people with the Work on jobs permission

Every job has a Tasks card. It is a plain checklist: what the crew needs to do there, ticked off as it happens. The card shows 3 of 5 done with a bar, and the jobs list and Today show the same count.

  1. Step 1: Open the job. In the Tasks card, type the first task in Add a task and press Enter. The box stays focused, so you can type the next one straight away.
  2. Step 2: To say who a task is for, tap the person icon on its row and tick any teams and people from the roster. Leave it blank and it is for anyone. Everyone on a task also shows in the job's Team card, under On tasks.
  3. Step 3: On site, tick the box. The row sinks to the bottom with who ticked it and when. Untick it if that was a slip.
  4. Step 4: The three dots on a row hold Rename, Attach a photo or PDF and Delete.

Notes, photos, PDFs and subtasks

Tap the arrow at the end of a task to open it. Underneath are its Notes (what, where, how; they save when you tap away), a Photo or PDF button for a drawing, a spec sheet or a picture of the problem, and its subtasks, a checklist of their own with the same tick and the same Who chip. A closed task shows 1 of 2 subtasks, a paperclip with the file count, and the first line of its notes. Subtasks go one level deep.

Every tick saves at once. If the signal drops, the card says Not saved. Retry, and a tap sends it again once you are back in range.

Put a task on a visit

A job's schedule is its visits, so a task's day is the visit it belongs to. Tap the calendar chip on a task or subtask (or Put on a visit in its menu) and pick one of the job's visits, or New visit to add one on the day you want, which also schedules the job. The chip then shows the visit's day and turns red once that visit is past due. A subtask follows its parent unless you move it on its own; Any visit takes a task off. On the Calendar, the visit's chip shows how many of its tasks are done, and its quick view lists them with tick boxes. The Schedule tab lists them under each visit on the job.

Good to know: Ticking, adding and scheduling tasks takes the Work on jobs permission, which the built-in Field tech set has, or Edit jobs & status.
